Quick Stocktaker mobile user manual for inventory counts

Quick Stocktaker helps users complete inventory counts and stocktake tasks faster and more accurately. The app lets workers scan barcodes, record quantities, review mistakes, and send completed stocktake files from a mobile device.

1. Introduction

2. First-Time Setup

  1. Open Quick Stocktaker on your phone.
  2. On the Home screen, check the current Scanner ID, Stocktake No, Site/Warehouse, and Stocktake Date.
  3. Tap the menu icon.
  4. Tap Settings.
  5. Under Device, enter your Device ID.
  6. If you want the camera to keep scanning one barcode after another, turn on Continuous Scan Mode.
  7. Go back to Home or Dashboard.
  8. When you first tap Scan, allow Camera Access.
  9. If camera access is denied, open your phone app settings, find Quick Stocktaker, and turn Camera permission on.
  10. A separate first-time setup wizard was not found in the current app.

3. Core Workflow: How to Complete a Stocktake

  1. Open the app and go to Dashboard.
  2. Tap New Stocktake.
  3. Read the warning: The current stocktake data will be cleared.
  4. Turn on the Do you want to continue? switch.
  5. When the Warning message appears, confirm Confirm to clear data.
  6. If you see Invalid Device ID. Please setup a Device ID before start a new stocktake., go to Settings, enter a Device ID, then return to New Stocktake.
  7. Enter the New Stocktake Number.
  8. Enter the Site/Warehouse.
  9. Choose the Stocktake Date.
  10. Tap Save.
  11. You will return to the previous screen. The Home screen should now show the updated Stocktake No, Site/Warehouse, and Stocktake Date.
  12. Go to Dashboard.
  13. Tap Enter Data.
  14. In Bay/Location/BIN or Ref No, scan or enter the bay, location, bin, or reference number.
  15. To scan the bay/location, tap Scan beside the bay/location field.
  16. Hold the camera over the barcode when the scanner screen says Hold camera up to barcode to scan.
  17. Wait for the barcode to scan automatically.
  18. If scanning is unavailable, type the bay/location manually into Bay/Location/BIN or Ref No.
  19. In Barcode / SKU / Item No, scan or enter the item barcode.
  20. To scan the item barcode, tap Scan beside the barcode field.
  21. If scanning is unavailable, type the barcode manually into Barcode / SKU / Item No.
  22. Check QTY.
  23. Use the minus and plus controls to adjust the quantity.
  24. If Auto Save is on, each scanned barcode is saved automatically with quantity 1.
  25. If Auto Save is off, set the quantity, then tap Add Item.
  26. After an item is saved, the barcode field clears.
  27. Check the top bar for Current Bay Total QTY. This number should increase after saved counts.
  28. Check Last 5 items to confirm the latest scans are listed.
  29. If you entered the wrong barcode before saving, tap Clear beside the barcode field.
  30. If you entered the wrong bay/location before scanning items, tap Clear beside the bay/location field.
  31. To review counted bays, go back to Dashboard.
  32. Tap Bay/Location List.
  33. Check each Bay/Location and Total Units.
  34. Use the search field Find Bay/Location... to find a bay quickly.
  35. To fix a bay/location name, swipe the bay row and tap Update.
  36. Enter the new Bay/Location/BIN or Ref No, then tap Update.
  37. To review items inside a bay, swipe the bay row and tap Details.
  38. On the details screen, check Bay/Loc, Item, and Qty.
  39. To fix an item, swipe the item row and tap Details.
  40. Edit Barcode or Qty.
  41. Tap Save.
  42. To delete a wrong item, swipe the item row and tap Delete.
  43. Confirm Are you sure want to delete this item? by tapping YES.
  44. To delete all data in a bay, go to Bay/Location List, swipe the bay row, and tap Delete.
  45. Confirm only if you are sure. The app warns that this action cannot be undone.
  46. To review the whole stocktake, go back to Dashboard.
  47. Tap Review/Correction.
  48. Check Stocktake Details, including Stocktake Number, Site/Warehouse, Stocktake Date, Number of Bays, and Total QTY.
  49. To change the date, tap Change Stocktake Date and choose the correct date.
  50. A successful date change shows stocktake date changed to the new date.
  51. To change the stocktake number, tap Change Stocktake Number, enter the new number, then tap OK.
  52. A successful number change shows Stocktake number changed to the new number.
  53. To change the site or warehouse, tap Change Site/Warehouse, enter the new value, then tap OK.
  54. A successful site change shows Site/Warehouse changed to the new value.
  55. Progress is saved as items are added. The strongest save cue is that the item appears in Last 5 items and Current Bay Total QTY increases.
  56. A separate Submit Final Stocktake button was not found in the current app.
  57. To send the final stocktake count, go to Dashboard.
  58. Tap Send Data.
  59. Choose CSV File, Email, or FTP/SFTP.
  60. For CSV File, choose Share to send the file through your phone share options, or choose Save to save it to the phone.
  61. A successful CSV save shows File saved to: followed by the file location.
  62. For Email, enter the email address and tap OK.
  63. While sending, the app shows Emailing data.
  64. A successful email shows Data send successfully.
  65. For FTP/SFTP, make sure FTP/SFTP Config is completed first.
  66. While uploading, the app shows Uploading data.
  67. A successful FTP/SFTP upload shows Data uploaded successfully: followed by the file name.

6. Troubleshooting for Count Errors

Message or Problem What It Means What To Do
